Summary

The Contracts Administrator provides administrative support to the Contracts Department. With the supervisors’ approval and direction, they may also provide administrative support for other company Areas or Departments. The role requires an unselfish and approachable personality with a preference for detail. It will be skill-based work that oversees documents involved in initiating, executing, and supporting contractual agreements. The position reviews a variety of documents for accuracy and works on assigned tasks in a manner that aligns with organizational goals and objectives. It requires support of projects, communication, documentation, and working with various teams to create and standardize processes to reach department and company goals. The focus of this position is to produce high-quality work based on established guidelines, policies, and procedures. Consistent work output is essential requiring patience and a willingness to handle and complete multiple tasks at a time. Error-free work, with defined regulations and standards, are key measures of job performance success.

Responsibilities

· Maintain the active Contracts List

· Audit soft closed contracts

· Apply for new license and business registrations as requested

· Maintain existing licenses and business registrations

· Work closely with Insurance Broker to obtain Certificates of Insurance (COI) for customers and B&D Industries, Inc.

· Process Payment & Performance Bond requests and closeouts

· Maintain and monitor On-Call Contracts

· Close subcontracts and professional service agreements in Vista

· Support other Areas and Departments with various administrative tasks as assigned by the supervisor

· Work closely with Project and Service Management Teams

· Maintain the filing of claims and assist in the process

· Maintain complete, accurate files including pertinent correspondence

· Review contractual agreements and other documents for compliance with language guidelines

· Identify potential risks contract changes may pose to company

· Liaison between internal parties regarding contract development, and negotiations regarding terms and conditions, and draft revised changes as required

· Ensure relevant documentation accompany contractual agreements

· Obtain contract-related information from relevant parties

· Professional integrity and positive attitude

· Intermediate computer knowledge and proficiency in basic applications

· Technical writing & editing skills (content, grammar, punctuation, spelling, etc.)

· Well organized and detail oriented

· Clear written and verbal communication

· Work well independently and with team groups

· Efficient time management

· Strong interpersonal skills

· Active listener and able to follow instruction

· Physical demands include long hours, sitting, using a computer, standing, pulling/pushing, walking, lifting, and climbing

· Other duties, activities, and responsibilities may vary and change as assigned by the supervisor

· Classes and or training programs may be required at the discretion of the supervisor in accordance with B&D’s Training Procedure
 

Education and Experience

· Associates Degree in Business Administration and/or equivalent industry training

· Relevant work experience may substitute for the degree or training
