Summary

The Estimating Coordinator supports the Estimating team by managing, organizing, and coordinating estimating activities for construction projects. This position plays a crucial role in ensuring that estimates are accurate, complete, and submitted within required deadlines. The Estimating Coordinator will collaborate with Project Managers, Estimators, subcontractors, and suppliers to gather all necessary information and support the preparation and submission of detailed cost estimates and bid packages for construction projects.

Responsibilities

· Receive, review, and enter bid invitation information to notify necessary stakeholders of all relevant information available for project consideration

· Obtain initial bid documents and gather additional project documents, including amendments, addenda, bid forms, and other relevant materials

· Organize, store, and maintain complete and accurate project documentation

· Notify relevant parties when documents are issued or updated

· Compile and organize bid documentation to ensure all required documents are collected, reviewed, and prepared prior to submission

· Maintain and update estimating databases, spreadsheets, and project files, ensuring accuracy and completeness of information

· Liaise with Project Managers, subcontractors, vendors, and other relevant stakeholders as requested to obtain pricing, specifications, and other clarifications as needed

· Monitor estimating timelines to ensure all bids and estimates are completed and submitted on time

· Ensure all cost data, drawings, and other relevant information are stored and organized for streamlined retrieval

· Assist with Business Development’s approach in the preparation, review, and submission of tender packages and proposals

· Assist in the review of required documentation to ensure accuracy and completeness before submission

· Provide administrative support to the Estimating team, including assistance with calculations, material take-offs, and other tasks as needed

· Demonstrate flexibility and willingness to support workload demands, including overtime potential during peak bid periods

· Attend site visits as specified by project requirements

· Demonstrate exceptional organization, attention to detail, time management, and consistent follow-through

· Demonstrate strong written and verbal communication skills to both internal and external stakeholders

· Must be able to work under tight deadlines and handle multiple tasks simultaneously

· Physical demands include long hours sitting, using a computer, standing, pulling/pushing, walking, lifting, and climbing

· Job requires intermediate computer proficiency and advanced critical thinking skills

· Other duties, activities, and responsibilities may vary and change as assigned
 

Education and Experience

· Associate's degree in Construction Management, Engineering, Communications, or other relevant degree preferred

· Relevant work experience, trade experience, or equivalent certifications may substitute for formal education

· Proficiency with Microsoft Office applications, including Excel, with the ability to quickly learn role-specific software platforms required

· Demonstrated knowledge of construction terminology, estimating processes, and construction materials preferred

· Familiarity with construction management and collaboration platforms such as BuildingConnected, ShareFile, Procore, and CRM systems preferred
